Before Overseas Buyers Sign a Cable Equipment Contract, These Seven Clauses Should Be Confirmed One by One

Over the years of exporting cable equipment, I’ve noticed a pattern: overseas customers scrutinize technical parameters in great detail – tension fluctuation, pitch deviation, concentricity – but when it comes time to sign the contract, they pay less attention to some key clauses.

If the contract isn’t well written, disputes multiply later. When the equipment arrives, you discover the voltage is wrong, spare parts weren’t included, training wasn’t arranged, and the warranty scope is unclear – every one of these is a headache.

Today, let’s go through seven clauses that overseas buyers should confirm one by one when signing a fiber optic cable production line contract, helping cable manufacturers keep risks out before signing.

Clause 1: Equipment Configuration List – Model, Quantity, and Brand Must All Be Clearly Stated

The contract cannot simply say “one SZ stranding line.” It should clearly state:

  • Equipment model and factory serial number

  • Core component brands and specifications: SZ stranding line differential gear material and heat treatment process, bearing brand, PLC brand

  • Fiber optic cable sheathing line screw material, nitrided layer depth, whether a laser diameter gauge is included and its accuracy

  • Fiber coloring machine UV curing method (UV-LED or traditional mercury lamp), pay-off tension accuracy

  • Secondary coating line for optical fiber excess length control accuracy

  • Loose tube line applicable material range

For the entire fiber optic cable making machine series – including the fiber optic coloring line, FTTH optical cable manufacturing machine, and indoor optical fiber production line – it is recommended to list the configuration in a contract appendix.

Clause 2: Factory Test Report – Data Is the Basis for Acceptance

The contract should specify: every machine comes with a factory test report, including measured data for pay-off tension fluctuation, stranding pitch deviation, sheath concentricity, and more.

For each machine on the optical fiber cable production line, the factory inspection standards should be clearly stated. SZ stranding line pay-off tension fluctuation ≤ ±0.5 N, fiber optic cable sheathing line concentricity ≥ 98% – write these into the contract. After receiving the equipment, the customer can re-measure; if the data doesn’t match, it is the supplier’s responsibility.

Clause 3: Delivery Lead Time – How Many Days from Contract Effectiveness to Factory Release

For a complete line, the standard cycle from contract to factory release is 45 to 60 days. This time should be written into the contract.

If the customer’s factory construction schedule is tight, partial delivery can be agreed upon – front-end equipment shipped first, back-end equipment later. For full-line delivery of a fiber optic cable production line, the container loading plan should also be confirmed in advance to avoid equipment sitting idle waiting for a ship.

Clause 4: Installation and Commissioning – Engineers On-Site, How Many Days On-Site

The contract should clearly state: will the supplier dispatch engineers on-site for installation and commissioning? How many days on-site? How are costs calculated?

Hongkai dispatches engineers on-site – 12 to 18 days from unpacking to producing the first qualified reel. Before the engineers leave, they train the operators, leaving behind bilingual manuals, electrical schematics, and a complete troubleshooting guide. For full-line installation of a fiber optic cable production line, from fiber coloring machine to fiber optic cable sheathing line, we provide turnkey service.

Clause 5: Training – Three Levels: Operation, Maintenance, and Data

Training cannot be written as just “training provided.” It should clearly state:

  • Operational level: Startup, changeover, parameter adjustment, daily inspection

  • Maintenance level: Common troubleshooting, spare part replacement

  • Data level: Data export, MES integration

SZ stranding line pitch calibration, fiber optic cable sheathing line concentricity adjustment, fiber coloring machine tension setting – all should be included in the training scope.

Clause 6: Spare Parts and Warranty – Is the Wear-Parts Kit Included, How Long Is the Warranty Period

The contract should clearly state:

  • Standard wear-parts kit: Belts, bearings, sensors, fuses – whether shipped with the equipment

  • Warranty period: 12 months or 24 months for the whole machine? What does the warranty cover?

  • Spare parts supply: Spare parts shipped via DHL, arriving in 3 to 5 working days

  • Remote support: Response within 2 hours during working hours

Every Hongkai machine comes with a standard wear-parts kit, and spare parts arrive via DHL within three days. Major electrical components use international brands with global warranty coverage and locally available replacements. All machines on the optical fiber cable production line provide spare parts support under the same standard.

Clause 7: Certification and Documentation – CE, Bilingual Manuals, Electrical Schematics

The contract should clearly state which documents the supplier provides:

  • CE technical documentation (if applicable)

  • Bilingual operation manuals (Chinese/English)

  • Electrical schematics (every wire labeled)

  • PLC program backup USB drive

  • Factory test report

  • Wear-parts kit list

The entire fiber optic cable making machine series prepares documents under the same standard. Fiber optic coloring line, secondary coating line for optical fiber, loose tube line, FTTH optical cable manufacturing machine, indoor optical fiber production line – complete documentation for all equipment ensures smooth customs clearance and acceptance.

📩 Get a Contract Clause Checklist

If you are procuring an optical fiber cable production line for an overseas project, or want to understand the key clauses and considerations in an equipment procurement contract, feel free to contact the Hongkai technical team.

Just tell us three things:

  1. What type of cable do you want to make? (Loose-tube / FTTH / indoor cable)

  2. Where will the factory be built? (This affects voltage system and certification requirements)

  3. Approximately what capacity? (How many kilometers per month or per year)

We will provide a preliminary equipment configuration proposal, contract clause checklist, and quotation within 5 working days.
